(address: 〇〇, representative: 〇〇; hereinafter, “the Company”) establishes the following Privacy Policy (hereinafter, “this Policy”) regarding the handling of personal information related to the meeting recording, transcription, and AI analysis platform “Uninote” (hereinafter, “the Service”) that the Company provides. The definitions of terms in this Policy follow the Act on the Protection of Personal Information (hereinafter, “Personal Information Protection Act”) and related laws, as well as the Uninote Terms of Service.

Compliance with Laws and Guidelines

The Company complies with the Personal Information Protection Act, other relevant laws, the guidelines of the Personal Information Protection Commission, and this Policy, and handles personal information lawfully and appropriately.

Acquisition of Personal Information

The Company acquires personal information by lawful and proper means. The categories of personal information that the Company may acquire in connection with the Service are as follows. 1. User authentication information
  • Name and affiliation (company name)
  • Email address
  • User ID
  • Password
  • Information related to individuals that the Company may learn through support and inquiries
2. Recording, video, and call data Audio and video data uploaded or recorded by users through the Service. These are acquired and processed for the purpose of providing Service features (transcription, AI analysis, etc.). 3. Other usage information Service usage, operation logs, access logs, and device information (browser type, OS version, etc.).

Purpose of Use of Personal Information

The Company handles acquired personal information within the scope of the following purposes of use, and does not use it for other purposes except with the consent of the person or as permitted by law.
  1. To provide and manage the Service (including transcription of recorded audio data and providing AI analysis results)
  2. To provide support and respond to inquiries about the Service
  3. To improve and enhance the quality of the Service (including improving AI model accuracy and developing new features)
  4. To bill, process payments, and conduct related administrative work for service fees
  5. To respond to incidents and implement security measures
  6. To create and analyze statistical information (used only after processing into a form that does not identify specific individuals)
  7. To provide information about the Company’s new services and features
  8. For matters incidental or related to the foregoing

Provision of Personal Data to Third Parties

The Company does not provide acquired personal data to third parties (excluding subcontractors) except in cases stipulated in this Policy, with the prior consent of the person, or as permitted by law.

Entrustment of Personal Data and Supervision of Subcontractors

The Company may entrust the handling of personal data to partner companies (subcontractors) to the extent necessary to achieve the purposes of use. In such cases, the entrusted information is limited to the minimum necessary for performing the entrusted business, and the Company appropriately supervises the subcontractors.

Voluntary Provision of Personal Information

The provision of personal information to the Company is voluntary. However, if personal information is not provided, the Company may not be able to provide some or all of the Service. Please be aware of this in advance.

Safety Management of Personal Information

The Company takes reasonable safety management measures to prevent leakage, loss, or damage of acquired personal information. The Company also provides necessary and appropriate supervision of employees who handle personal information.

Disclosure, Correction, and Deletion of Personal Information

The Company responds to the following requests from the person or their representative regarding retained personal data:
  • Disclosure of retained personal data
  • Correction, addition, or deletion of content
  • Suspension of use, deletion, or suspension of provision to third parties
How to Request Please submit requests for disclosure, etc., by email to the contact below. The Company will provide a prescribed application form. We may ask you to submit identity verification documents (such as a copy of a driver’s license or passport). For requests made by a representative, a power of attorney and other documents specified by the Company will be required separately. Non-Disclosure Cases The Company may not be able to respond to requests for disclosure in the following cases. In such cases, we will notify you with the reasons:
  • If we cannot verify the identity of the person
  • If the subject does not correspond to retained personal data
  • If there is a risk of harming the rights or interests of the person or a third party
  • If there is a significant risk of impeding the proper conduct of the Company’s business
  • If responding would violate the law

Deletion of Data

If you terminate use of the Service and delete your account, or if the retention period prescribed by the Company is exceeded, the Company will delete the user’s data. Deleted data cannot be recovered. For details, please refer to Article 18 of the Uninote Terms of Service.

Use of Cookies and Similar Technologies

The Company may use cookies and other similar technologies for the purposes of improving the convenience of the Service and analyzing usage. Users can disable cookies in their browser settings, but doing so may make some features of the Service unavailable.

Changes to the Privacy Policy

The Company may revise this Policy in response to legal amendments, changes to the Service, etc. For important changes, the Company will provide advance notice on the Service or the Company’s website. The revised Policy will apply from the prescribed effective date.
